The setup
Book It Early
Courses fill up fast, especially for groups.
- Aim to reach out around three months in advance, depending on the course.
- Call the pro shop directly and ask about group blocks, formats, and minimum headcounts.
- Youโll usually need a rough headcount before anything is confirmed.
- Your choice whether this is included in dues or payment collected on the side.
The sooner the date and time are locked, the smoother everything else becomes.
Lock the Headcount
Before you finalize anything, get numbers.
- Send a simple poll in the group chat.
- Confirm whoโs in and whoโs out.
- Decide whether freshmen are included.
This avoids last-minute dropouts and makes booking easier.
Day-Of Flow
Keep it simple.
- Let guys sort into foursomes themselves.
- Seniors pick tee times first, then work down by class if needed.
- Avoid bottlenecks. Once guys are checked in, let them get moving.
For check-in, you can either:
- Use the pro shop if the course prefers that, or
- Run a simple table yourself to hand out scorecards and giveaways
No need to overthink it. The goal is getting people out on the course quickly.
