TopHouse Network LLC ("TopHouse," "we," "us," or "our") operates the e-commerce store, the website located at jointophouse.com, and the TopHouse Chapter Management Application (collectively, the "Services").

TopHouse is powered by Shopify (for e-commerce) and utilizes Supabase and Vercel (for application infrastructure). This Privacy Policy describes how we collect, use, and disclose your personal information when you visit, use, or make a purchase or other transaction using the Services.

1. PERSONAL INFORMATION WE COLLECT

We collect information to provide our e-commerce and software services. The types of information depend on how you interact with us.

A. Information You Provide Directly

  • Store Customers: Name, billing address, shipping address, payment confirmation details (we do not store full credit card numbers), email address, and phone number.
  • App Users (SaaS): Name, email, university affiliation, graduation year, fraternity/sorority chapter, and leadership role.
  • Financial Data (App Users Only): If you use our budgeting tools, we store the event budgets, expense amounts, and images of receipts you upload.
  • User-Generated Content: Event descriptions, comments, RSVP statuses, and photos you upload to the platform.
  • Communications: Support inquiries, feedback, and direct messages.

B. Information Collected Automatically

  • Device Information: IP address, browser type, device limits, and operating system info.
  • Usage Data: Logs of how you use the app, including invite token usage, tasks claimed, and events created.
  • Cookies & Tracking: We use cookies to power the Shopify shopping cart and Supabase authentication tokens to keep you logged in to the App securely.

2. HOW WE USE YOUR INFORMATION

We use your personal information for the following purposes:

  • Service Functionality: To authenticate your account, manage chapter rosters, track budgets, process store orders, and facilitate event planning.
  • Internal Chapter Transparency: If you are a member of a Chapter on our App, your name, profile picture, and activity are visible to other members of your specific Chapter. Note: Chapter Executives have access to financial reports and receipt images uploaded by members.
  • Marketing & Advertising: To send marketing communications (email/SMS) if you have opted in.
  • Commercial Photo Use: If you upload photos to the App and explicitly check the "Allow Commercial Use" option, we may use those images for TopHouse marketing and social media in accordance with our Terms of Service.
  • Security & Fraud Prevention: To detect malicious activity and protect the integrity of our Services.

3. SHARING & THIRD-PARTY PROCESSORS

We do not sell your personal data. We disclose data only to the essential infrastructure providers that power our platform:

  • Shopify: Powers our e-commerce store. Transaction and shipping data is processed according to Shopify’s Privacy Policy.
  • Supabase: Powers our App database and authentication. Your user profile, app data, and uploaded content reside on Supabase servers.
  • Vercel: Hosts our web application. Technical request data (IP addresses) passes through Vercel's infrastructure.
  • Service Partners (The "Connector"): If you request a quote for rentals or production (e.g., stage rentals), we share your contact details and event specs with the specific third-party vendor to facilitate the quote.

4. MOBILE MESSAGING (SMS) COMPLIANCE

Strict SMS Privacy: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5. FINANCIAL DATA & RECEIPTS (APP USERS)

The App allows users to upload images of physical receipts for reimbursement.

  • Storage: Receipts are stored securely via Supabase but are accessible to your Chapter Executives.
  • User Responsibility: Do not upload receipts that display full credit card numbers or unmasked bank account info. You are responsible for obscuring sensitive financial numbers before uploading receipts.

6. YOUR RIGHTS & CHOICES

Depending on where you live (including California, Colorado, CT, UT, VA, and the EEA/UK), you may have specific rights:

  • Right to Access/Know: You may request access to personal information that we hold about you.
  • Right to Delete: You may request that we delete your personal information. Note: Some financial data attached to Chapter records may be anonymized rather than deleted to preserve accounting integrity.
  • Right to Correct: You may update your profile directly in the App or contact us to correct store data.
  • Opt-Out of Targeted Advertising: You can opt-out of targeted ads by visiting the Shopify Privacy Portal.

  • Global Privacy Control (GPC): We recognize GPC signals. If we detect a GPC signal, we will treat it as a request to opt-out of tracking for that device/browser.

7. RETENTION

We retain your personal information only as long as necessary to provide the Services, maintain your account, and comply with legal/accounting obligations.

8. INTERNATIONAL TRANSFERS

Your information may be transferred to and processed in countries other than the country in which you reside (such as the United States). We rely on recognized transfer mechanisms (like Standard Contractual Clauses) where applicable.
